The information kept depends on how you take part in the program. The site does not ask every member for every category below.

Mastermind sessions take place on Zoom and are recorded and transcribed. Before the session begins, Thomas reminds the group and asks everyone to confirm. Members are welcome to keep their camera and mic off and take part through chat. Because the replay and recap are part of the program, the live session remains recorded. Fathom records and transcribes the session and creates an automated meeting summary. The replay is shared with members through the member site or group email after it is reviewed.

Thomas uses the recording, transcript, and session context to prepare a reviewed summary, lesson debrief, practical takeaways, quotations, action items, and a recap email. These member materials may identify the person who shared a win, asked a question, offered an example, or accepted an action item.

The member site requires a Mastermind account. Fathom replay pages currently open for someone who has the share link; Fathom does not require a separate member login. Thomas shares those links only through member channels and asks members not to forward them.

The checkout disclosure, welcome email, and member portal explain that live sessions are recorded. At the start of each call, Thomas gives the group another reminder and asks everyone who plans to stay for explicit confirmation before the session begins. Mastermind membership does not give Thomas permission to use your face, voice, work, or words in public marketing. Public clips, case studies, and testimonials require separate permission.

Thomas uses member information to provide account access, manage billing, run the member community, hold live sessions, prepare the replay and reviewed member materials, answer support requests, protect the site, and meet accounting or legal duties.

AI Mastermind does not sell or rent member personal information and does not use it for targeted advertising.

Supabase authentication cookies keep signed-in members connected to their accounts. The site does not use advertising cookies or build a cross-site advertising profile, so a browser's Do Not Track setting does not change the site's current behavior.

Fathom uses artificial intelligence to produce its transcript and meeting summary. Thomas currently uses Anthropic Claude to help draft recap and lesson-debrief material. OpenAI Codex may help implement or review selected member materials and site artifacts. Thomas gives each tool only the source needed for that task, and he reviews the member-facing result before publishing it.

The tool used for a debrief can change as the available services change. A full transcript or the portions needed for the task may be processed by that provider under its own terms and settings. Thomas updates this notice when the working provider changes, and you can ask which tools handled a particular session.

AI tools do not decide whether you can join, keep access, receive support, or be treated differently inside the group.

Active signed-in members can see community posts, replies, display names, vote totals, replay links, and lesson debriefs. The Fathom replay itself currently opens for someone who has its share link. A question or win discussed during a session may appear with your name in the member recap.

Mastermind is a shared room. Please contribute only what you are comfortable discussing with the group. Remove passwords, private client records, health information, financial account details, and personal information about someone else unless you have their permission to share it.

Members agree in the Terms to keep recordings, transcripts, portal discussions, and other members' personal or business information inside the group. Thomas can set and enforce that rule, although no group service can guarantee what every participant remembers or does after a conversation.

Each provider receives the information needed for its role and handles that information under its own privacy terms.

Each category has a different working life. AI Mastermind currently uses purpose-based retention instead of one automatic deletion deadline across every provider.

You can update your profile, edit or delete your own community posts, delete your own replies, and cancel future subscription renewals from your account settings.

You can ask to see, correct, export, or delete personal information connected to your account. You can also ask for a correction or redaction in a session debrief. A recording request may affect other members' records, so Thomas will review what can be removed while preserving their rights and any records that must be kept.

During a live session, you can keep your camera and mic off, avoid sharing your screen, and take part through chat. You can also submit a question in advance or use the replay afterward. Thomas reminds everyone that the session is recorded before it begins. Contact Thomas before the call if you have questions about this policy.

AI Mastermind uses access controls, signed-in member routes, encrypted connections, and established service providers to protect the information it keeps. No online service can promise perfect security.

If this notice changes in a way that materially affects active members, Thomas will provide notice on the site or by email before the new use applies when practical.
